BASIC FUNCTION:

Provides support to the Customer Service function within PPD in a variety of responsibilities. Works closely with the Inside Sales Representatives (ISR) ensuring customer requirements have been correctly identified for processing Purchase Orders, assists with issuing quotations and lead-time, tracking orders, logging return requests, customer complaints and repairs.

Accountabilities:

  • Processes orders in a timely manner, ensuring accuracy of pricing and that appropriate part numbers are identified.  Negotiates with other departments to meet the customer’s delivery requirements.  Ensures accuracy of bill-to and ship-to addresses for customers, reviews order for credit terms with the ISR and Credit Manager; sets shipping terms and methods.  Identifies tax codes and commission allocations.  Reviews Letters of Credit, Credit Card transactions and C.O.D. transactions for accuracy to terms.
  • Coordinates with ISR and other TDW departments to enable effective coordination of all customer issues such as complaints, returns, repairs; literature requests, order expediting, shipment tracking ensuring a timely response to the customer.
  • Develops and maintains personal communication expertise (telephone, facsimile, email, written documents and oral activities) along with systems within the Customer Service department electronic files addressing the customer and interoffice communication.  Responsible for maintaining all special pricing agreements and coordination with Regional Sales Managers for accuracy.
  • Communicates with freight forwarders to obtain proper shipping instructions, schedule vessel and arrange trucks to pick-up load. Also responsible for review of letter of credits (LOC), types special invoices required, prepares the necessary data package.
  • Develops and maintains personal awareness of ALL TDW products, both obsolete and current, new product releases, TDW operational procedures, along with a reasonable understanding of the manufacturing process.
  • Works with RRT Sales Order Specialist to process “Engineered-to-Order” inquiries and orders; obtains information from customer to effectively communicate to TDW departments ensuring customers’ requirements are timely processed.
  • Processes the customer request for quotes or orders over telephone, fax or electronic correspondence. Also ensures that all correspondence (including quarterly/yearly customer sales history as required) and communications with customers are professional and accurate.
  • Manages projects as assigned by the department Supervisor, Manager or designee.  Provides direction to Customer Service Administrator or Coordinator on an as needed basis.
  • Implements and maintains product price increases as directed by Customer Service Manager or Supervisor in the OMAR MAN/MAN database.  Develops and maintains product price list for domestic and international distribution to TDW representatives.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

  • High School graduate with five years experience preferred; college level courses would be desirable.
  • Ability to understand mechanical products and functions along with engineering    terminology and industry design codes.
  • Good communication and human relations skills, ability to function under stressful situations with the customer.
  • Must be proficient in the use of current computer and communications technologies, including but not limited to PC skills on databases, spreadsheets and word processing and communications skills such as email, facsimile and EDI tools.
  • Ability to manage multiple tasks in a high stress, short lead-time environment.
