Administrative Assistant - Salt Lake City, Utah


TDW MAGIPIE® is a company specializing in Magnetic Pipeline Inspection Systems for the Petroleum industry. We are experiencing growth in both our domestic and global operations. As a growing company TDW MAGPIE is seeking energetic and experienced professionals for the following position:

BASIC FUNCTION:

Performs a variety of administrative functions to support the Data Analysis Department, including printing and shipping final reports to customer/client.

Accountabilities:

  • Upon notification from Data Analyst that final check on job chart has been completed, identifies correct report from the data base.  Reviews Client Specific Requirements for correct report preparation/distribution, and prints reports according to those specifications.
  • Prepares binder of report for shipment to the customer, ensuring appropriate tabs and dividers are included in the report.  Reviews completed binder for completeness and accuracy and returns to Data Analyst for final review.  Identifies any changes/corrections made by Data Analysts during final review and ensures corrections are reprinted and substituted in the final report prior to shipment.  
  • Burns disks for inclusion with final report to customer.  When requested, prints additional reports for customer or other analysts within TDW.
  • Monitors inventory of binders, printing paper and other supplies necessary to ensure timely production of reports.  Advises Lead Data Analyst when additional supplies must be ordered.
  • Responsible for maintenance of printers and other office machinery, ensuring availability at all times.
  • Packages reports for shipment according to Client Specific Requirements.  Ships report through DHL/FEDEX, maintaining accurate shipping information for tracking purposes.
  • Files copy of completed reports in accordance with Standard Filing Procedures.  Removes files from current files to general storage area as needed, ensuring files are correctly identified in accordance with Corporate Records Retention program.
  • Updates job database, ensuring accurate information regarding completion/issuance of reports to customer. 
  • When initial report is received from Field Technician, verifies validity of tool run and categorizes appropriately.  Ensures Field Technician and Supervisor are notified when there is need for immediate response from the Field regarding issues with the report.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

  • High school education or equivalent.
  • Prefer two years previous office experience, including responsibility for printers and office machinery.
  • Excellent grammatical, punctuation, spelling, and proofreading skills.
  • Proficient in the use of personal computers, with basic proficiency in MS Word, Excel and Outlook. 
  • Excellent organizational skills with the ability to multi-task or change projects quickly.
  • Good communication skills, both written and verbal.
